The use of SAP MM Return Purchase Order

It is well known that the SAP MM module has returned purchase orders to support purchase and return scenarios.

When the incoming material inspection finds that the quality is not up to standard, or the production department finds that the raw material is defective and unusable before using the purchased raw material for production, the enterprise will start the relevant process of purchasing and returning goods. After the purchasing department is notified by the quality department or the production department, it will negotiate with the supplier, and after it is recognized or recognized by the supplier, the warehouse department will send the materials that need to be returned to the supplier to the supplier.

There are generally two different ways to implement this process in SAP systems:

1. The purchasing department creates a purchase order of a new return type, and then the warehouse performs a reverse receipt on the purchase order, and the system generates a 161 mobile type material certificate number. If suppliers are no longer required to send qualified materials, suppliers can be asked to send scarlet letter invoices, and enterprises can check invoices accordingly for new returned purchase orders and reduce payables. If the supplier is required to send qualified materials later, the enterprise can add a normal purchase line item to the return purchase order, so that the warehouse can also execute the receipt for this new purchase order.

2. The warehouse department directly executes a return delivery for the original purchase order to send out the materials that need to be returned to the supplier, so that a 122mobile material certificate number will be triggered in the SAP system. If suppliers are no longer required to send qualified materials, suppliers can be asked to send scarlet letter invoices, and enterprises can check invoices accordingly for new returned purchase orders and reduce payables. If the supplier is required to send qualified materials in the follow-up, the warehouse department will continue to receive the goods for the original purchase order.

The two ways are the main solutions often recommended to customers in project practice, which are adopted by customers in different projects.

The author believes that the two methods have their own advantages and disadvantages.

Option 2, it is more helpful for the business to find out the context of the follow-up delivery of a purchase order and the invoice. The records of receiving, returning, invoice verification, credit memo and other operations in the same purchase order are reflected in the 'purchase order history', which is very intuitive and convenient. However, if the system is set up to complete the IV can not directly do receiving write-off or return delivery (OMBZ), then scenario 2 is not very convenient, at this time only option 1 can be enabled.

Option 1 artificially interrupts the connection between the original purchase order and the subsequent return business. Of course, we can record the original purchase order number in the relevant text of return purchase order to facilitate traceability, but this requires additional human intervention, which is not very convenient. Of course, solution 1 has a very suitable use scenario: the enterprise has just applied SAP and has just imported the inventory into the SAP system. When you need to return the goods to the supplier, you can create a Return Purchase Order to facilitate the subsequent outbound and invoice matters.
