Many users like to use SharePoint Calendar lists to manage team activities, not only meetings, social events, but also team milestones, such as product release dates and expiration dates, which are not specific time intervals. So how can the many types of activities be clearly displayed to end users to help them quickly find data?

Here is a tip for department administrators to use Calendar: Use Calendar Overlay to help users view and manage data in different lists using different color-coded calendar lists.

For example, in the above usage scenario, the Event Management System is used intensively, and three types of events are distinguished by dark blue, red and green respectively: Group Open Day, Project Milestone, Meeting Room Reservation, etc.

How do you implement this scenario? If SharePoint List view has more than 5000 items, there will be an exception when loading data. In order to better manage these data in the future, it is recommended to create a Calendar list for different event types to manage separately, and then combine the Overlay function to achieve it.

Specific process:

1. Create Calendar List according to event type. There are 4 Calendar lists named Event Management System, Group Open Day, Project Milestone and Meeting Room Reservation.

2. In the Event Management System list, create Calendar Overlap to differentiate between events.

The specific operation process of creating an Overlay is as follows:

1. Enter the Event Management System Interface, click Calendar Overlap in the toolbar in the Calendar tab, as shown in the following figure:

2. In Calendar Overlap, click New Calendar, as shown below:

3. In the "New Calendar" interface, click the "Resolve" button behind the Web URL to obtain the calendar list of the website, as shown in the following figure:

4. Select the target list in the list, take Group Open Day as an example, create a calendar name, color and view, and click OK, as shown in the following figure:

5. Repeat the above operations to complete the calendar addition process of conference room reservations and project milestones, and save the calendar overlap, as shown in the following figure:

How to prove that calendar overlap is work?

1. The end user clicks the link in the left navigation, taking "Meeting Room Reservation" as an example, as shown in the following figure:

2. Enter the "Meeting Room Reservation" interface, for example, to create repeated events: set the "SharePoint Elementary Training" to start from the 25th to the 27th, and save the 3-day training, as shown in the following figure:

3. In the view, you can see that the newly created event "SharePoint Starter Training" has been displayed in green, as shown in the following figure:
