problem description

Every department in the company has its own network printer, so how can the end user most easily install the printer they need?

solution

We can install print server on Windows Server 2016 and configure it easily, and the previous Windows Server system versions are basically the same operation.

The principle and process of print server implementation function are roughly as follows: Print Server role installed-> Install network printers and set up sharing on Print Services Manager-> Finely manage and set up installed printers via Print Services Manager-> End users can double-click the desired printer directly via UNC path/group policy/manual search add, etc. -> Copy selected printer drivers directly from print server to local, Thus automatic printer installation-> normal use.

The IT environment is a domain environment, this server has Windows Server 2016 installed, it is a domain-controlled DNS, DHCP and file server, we will install the print server on it, and then install the printer.

1. Install the Print Server role on Server Manager.

Service Manager- Add roles and features :

Server Roles - Printer and Document Service - Next :

Select Install Print Server, Role service - Printer Server - Next :

Confirmation- Install:

Click Close to complete the installation:

2. Install a printer, for example to install a network printer with the IP address 192.168.80.20 for your IT department.

Open Server Manager - Tools - Printer Management :

Expand Print Server Manager, Printer Severs - Printers -to see two default virtual printers, one for PDF and one for XPS:

We install network printers, right-click Printers - Add Printer... :

Select Add a TCP/IP or Web Services Printer by IP address or hostname - Next :

Type of Device - TCP/IP Device ，

Host name or IP address: 192.168.80.20,

Next :

Use default settings- next:

Select Install a new driver - Next to install a new print driver:

We don't really have a printer with IP 192.168.80.20 Here we randomly choose HP-HP Deskjet 2640 Series Class Driver as an example. When actually installing, we need to prepare the corresponding printer driver in advance. - Next:

Enter clear information in the wizard interface, which is useful for daily administrative expenses:

Printer Name: IT_HP Deskjet 2640 Printer Name is the printer name that this server sees itself

Share Name: IT_HP Deskjet 2640 Share Name is the printer name that client users see

Location: PUSHITS-HQ_Room-808 Printer Location: Room 808, PUSHITS Headquarters

Comment: A4 color, only for IT Dept. Note: A4 color can be printed, only for IT department use

Check the information and click Next:

Click Finish to complete printer installation:

An IT_HP Deskjet 2640 printer has been added to Pirnters:
