What would you do if your leader asked you to revise a 100-page PPT material?

In the workplace, we often have to do project reports. Sometimes a PPT will contain dozens or even hundreds of pages, and the beautification time left for us is often not ample, usually on the same day or the next day.

So what should we do with a large number of pages of PPT?

First of all, let me give you a scenario. In the face of a cluttered PPT of 100 pages, there are two beautification schemes:

a. Each page got 90 points (beautiful form), but due to lack of time, only 50 pages were completed.

b. 70 points per page (neat and uniform), but 100 pages of material have been over.

Which of the two plans do you think the boss will be more satisfied with?

I would like to rule out very few cases, most people will still choose Plan B. Because B represents the completion of the task, while An is not finished.

It can be seen that method and efficiency are very important. So how to arrange the beautification sequence reasonably, and how qualified each page is?

Before answering this question, let's take a look at the reporting materials of professional companies, with three examples of foreign working PPT:

Leaving aside the design of the specific page, I think you should find that the colors and fonts of the three materials are uniform, and the elements are evenly arranged on the page.

I would like to use this as a reference to share with you what an efficient workflow should be in the face of a large number of PPT. In my opinion, it can be divided into the following five steps.

1. To set a master is to set a set of uniform standards (including version center, color matching, font, title footer position, etc.).

3. Uniform fonts and color matching fonts: many kinds of fonts are often mixed in a material. We can use islide's uniform font tool to unify the Chinese and English fonts in the inner page with one click.

Color matching: the first draft materials are often mixed with many colors, so it is necessary to manually unify the colors in each page. For example, the whole material is mainly blue, then the rest of the color should be appropriately cut, and try to use blue and gray to match.

4. Inside page beautification here can be divided into two times to beautify, that is, first completed and then perfect.

The first time: simply put all the content in the center area, and then align the elements (neatly).

The second time: select the relatively key pages in the material for in-depth beautification.

5. Adjust the details to avoid minor problems.

When the current four steps are completed, the whole material should be in a state of color matching, uniform font, unified position of headings and footnotes, and alignment of elements in the inner page. On this basis, we check the details one last time: such as color matching, alignment, typos, page numbers, and so on.

The above is the general treatment of 100 pages of PPT material.

To sum up, it is finished before it is perfect. The advantage of this is that even if there is no time to do in-depth beautification in the end, we have ensured the cleanliness and unity of the whole material, at least in a deliverable state.

On the contrary, it is a step-by-step approach that requires 90 points on each page. In the end, the project is often unable to be completed on time due to limited time, resulting in the normal progress of the project.

Even if individual pages are done beautifully, the overall reporting effect is not ideal, but it will give people the impression of a dead end due to the excessive contrast between good and bad pages.
