Invited by the Microsoft SharePoint project team, I went to Microsoft headquarters in Beijing to participate in SharePoint Staturday on June 29th, 2019, and shared the theme of "Managing Your Digital Workplace with Automation Tools" for everyone. Event has a total of 13 topic,Speakers from bigwigs and Microsoft product team elites. The atmosphere was lively. In the face of foreword technology, everyone participated in the discussion one after another.

The topic I share is slightly different from other Speaker. Other lecturers focus on how to Provision a Portal, how to do Documents Management System, how to do Security Management, and so on, facing the initial design and ideas of the enterprise, while the topic I share is the enterprise operating system after many years, from the perspective of IT Admin's Painpoint, how to deal with these Painpoints comes from the management enterprise platform.

For example, at this stage, we are in the era of digital labor, technology is leading the trend, and many enterprises are accelerating the transformation. In order to improve work efficiency and data security, Microsoft Office 365 is looking for a complete, effective and secure collaborative office solution. Microsoft's Office 365 can just meet these requirements of enterprises, providing Mail, websites, Yammer\ Teams and other collaborative office tools to meet different user groups.

In the early days, after the enterprise IT department promoted to End Users under what circumstances to use the tools included in Office 365, for example, from a project collaboration point of view, the IM tools that can be used are as follows:

After determining the Solutions, we can send it to the user in the way of Emails to collect feedback, and then we can do Presentation through Skype or Teams. The final draft is archived in SharePoint to facilitate future search.

So, with the use and planning of the above recommended collaborative office tools between IT and customers, we can see that the collaboration of Office 365 provides us with a lot of convenience, but for IT, this digital work scenario is bound to bring us management challenges:

I'm not sure if other colleagues feel this way, but from my clients, such as the IT of many large customers in the South District, they have a deep feeling that there are more and more Office 365Groups and Teams, and the management is chaotic, because if the enterprise devolves the authority of the new Office 365Groups and Teams to end user, then there will be a large number of Teams and corresponding Site Collection in the background, so if you face such a challenge in the future How to solve the problem?

Some people may consider, let's automate management. What is automated management? It is that we define a policy to guide users on when to use these tools, and before using them, they are enabled with the approval of department leaders to ensure that they will be used.

It's nice to have this idea, you can use Flow to achieve process management actions, but the real self-help management platform can not be solved by using workflow, what does it all include?

For example, based on the needs of the enterprise, self-help tools are created, such as compliance and data security policies, such as whether the approval process is serial or parallel, such as whether Lifecycle is considered, and so on.

When the Lifecycle is about to expire, it will send Site Collection locked, if Admin is not expand. Then it will be Delete or Archive after a few days.
