SAP SD Basics Create and Process Outgoing Delivery Orders

Options for Creating Outbound Deliveries

We can manually create outbound delivery documents with or without reference to specific sales orders, or with reference to special types of purchase orders such as inter-company/intra-company STO.

If we use centralized processing, we can deliver all types of shipping documents, in which case the system automatically creates several outbound deliveries, which can be handled manually in the foreground or in the background.

II. Delivery List

Delivery List is a list of all transactions that require delivery.

We use different criteria to select vouchers to centralize delivery. Next, the system automatically creates outbound deliveries; if the shipping criteria are the same, the system merges these vouchers into one outbound delivery; in turn, the system splits a transaction into several outbound deliveries.

We can use delivery scenarios to model different deliveries business processes; when we process the delivery list, we only need to select a scenario;

Delivery Scenarios

A delivery scenario models a business process for delivering goods to satisfy different types of orders.

For example, there is a delivery scenario that allows us to fulfill SD order deliveries by line item; the delivery scenario is already defined in the system. The transaction code for this scenario is VL10C, as shown below:

The requirements generated by the Delivery process are modeled with user roles (also called list profiles), which enable us to adjust our delivery list processing, which allow us to control the scope of selection, the display of delivery list, the type of delivery, and so on.

In the standard system, each delivery scenario is assigned a user role and we are able to maintain user roles in the configuration.

A few typical user role and delivery scenarios for transaction code are shown below:

VL10A（Sales orders, Fast Display）,

VL10B(Purchase Orders, Fast Display)，

VL10G(Sales and Purchase Orders, Fast Display）,

If the user frequently or consistently uses the same scenario, it can be set to the user's default scenario.

Selection and displaying the delivery list

Users can define variables in user-defined scenarios and thus create user-defined selection conditions;

When we create our selection, the system displays a list of all documents that should be delivered according to our selection criteria. Settings in the user role also affect the display of the list.

There are many ABAP list viewer functions available in the list, such as sorting, summing, and filtering;

From this list, we can create deliveries online or in the background and jump to the corresponding credentials;

When we use lists by accessing display variants, we can also modify the display of that list.

Determining the Picking location

If no storage location for picking is specified in the order item, the system automatically determines the storage location when creating outbound delivery and copies it to the delivery item; the storage location entered in the order item is copied to outbound delivery;

The system determines picking location based on rules defined in delivery type; rules provided by standard system:

MALA: depends on shipping point, delivering plant, storage condition of the material defined in the material master record;

RETA and MARA: mainly used in trade scenarios;

We can also define our own rule for picking location search, activating Picking location search for each delivery item category. The relevant configuration path is shown as follows:

Changing and Adding to the Outbound Delivery

We can modify or add to the Delivery voucher once it is saved; however, we should make sure that information such as ship-to party and shipping point is immutable once we create the outbound delivery.

For example, we can add items to outbound delivery, which can reference other delivery order functions, and apply similar segmentation criteria to consolidate orders in centralized processing to add order items.

We can also add order-independent items to outbound delivery; for such items, the system uses the usual rules to determine the item category.

Seven, outward delivery order monitoring

The outbound delivery order monitoring list shows all deliveries that need to be processed or have been processed. We can select from a number of criteria to filter the credentials we need; the system displays a list of selected outbound delivery, and we can then perform subsequent functions on this list; this includes processing the output type of shipping, like delivery note. We can define user-specific variants for selection and display credentials. We can also use outgoing delivery order monitoring to perform important follow-up functions for multiple invoices together in the background (e.g., creating transfer orders for picking, or posting goods issues). We can monitor and execute inbound delivery activities in the same way using inbound delivery order monitoring.
