Users can also leverage retention policies to automatically transfer e-mail from their primary archive to their personal archive to reduce the size of their primary mailbox and improve performance. In addition, Outlook allows users to search both their personal archives and their main mailbox.
Retention policies: These policies apply retention settings to specific items or folders in your mailbox. Policies are configured by Exchange administrators and appear in each e-mail message with a header indicating the policy applied and the date of deletion. These headers make it easy for end users to determine when e-mail is set to expire and to apply new expiration policies if e-mail should be retained for a longer period of time. Administrators can also set default policies to automatically transfer messages from the primary mailbox to the archive.
Multi-mailbox search: Multi-mailbox search searches your mailbox for e-mail, attachments, calendar items, tasks, and contacts, as well as IRM-protected files. Multi-mailbox search has an easy-to-use dashboard that can be run on both the main mailbox and personal archive. This allows authorized personnel, legal and compliance users to search without relying on IT. For legal discovery purposes, messages found through search can be copied and transferred to specified mailboxes or external storage for further investigation, as defined by the administrator. Advanced filtering features include: sender, recipient, expiration policy, message size, send/receive date, cc/cc, and regular expressions.
Legal retention: directly saves deleted and edited mailbox items (e-mail, calendar, tasks, etc.) in the main mailbox and personal archive. Litigation retention can be set on an individual mailbox basis or company-wide, and users can choose to automatically warn them that their mailboxes will be retained.
