How to solve the problem that only the most recent year's mail content is displayed in Outlook?

Problem description

A colleague on the team received a request from a user that his Outlook email could only display the contents of his email for nearly a year, when in fact he had worked for the company for nearly five years.

Solution idea

No matter whether the mail server is Exchange Server built within the company or Exchange Online on Office365, what we configure in the Outlook mail client is the local cache of the user's mailbox. The advantage is that the folder in the user's Outlook mail client is always consistent with the Exchange mail server.

Default configuration Outlook mail client configuration cache length is 1 year, we can modify the cache duration to display more email content in the Outlook mail client, of course, this will result in larger cache database and take up more computer hard disk space.

Operation steps

File > Info > Account Settins > Account Settins:

On the Email tab, double-click the user mailbox name:

Drag the slider to cache messages for the desired length of time:

After the setup is completed, the Outlook mail client downloads messages with the corresponding cached duration from the Exchange mail server according to the set duration.
