Many people know that Microsoft Exchange local and Exchange Online in Office 365 can share your personal data with third-party services. For example, any map address found in an Exchange email is sent to Bing. These addresses can be shared with third-party services. But these third-party services have more to share. Do you know who these third parties are? Let's take a look at how to prevent this kind of personal data sharing.
Exchange Server 2013
If you go to the Exchange 2013 Central Administration, you will see a configurable organizational link on the left. When you click on the link, you will see the following three options:
Sharing
Apps
Address-lists
Exchange Online in Office 365
In Office 365 Exchange Online, you will also see organizational links in the Exchange Central Administration on the left, but only two options can be configured.
Sharing
Add-ins
Applications in local Exchange 2013 are called add-ons in Exchange Online in Office 365. The text describing the application / add-in is almost exactly the same, but with some nuances
What can these applications do?
In this article, I will use a screenshot of the Exchange 2013 Central Administration. These applications are almost identical to the add-ins in Exchange Online. There are five applications installed by default, each with a different purpose.
Action Items
Bing Maps
My Templates
Suggested Meetings
Unsubscribe
As you can see, four out of five applications say, "this application will not share your data with any third-party services." The Bing Maps app says: "this application will send addresses to Bing, but will not share your data with any third-party servers, third-party services."
What makes these applications unique is that they are installed by default in Exchange Online in Exchange 2013 and Office 365. They are enabled by default. They cannot be uninstalled or deleted, but they can be disabled. Both assure you that the application will not share your data with any third-party services. They all warn you that applications may share your data with third-party services.
So what does this mean? Indicate in simple English that the application will not share your data, but the application may share your data.
What kind of information can be shared?
Information shared with third parties can include the following personal information in any message or calendar entry in Exchange Online or Microsoft Exchange internal deployment in Office 365:
The subject of the email, the body of the email (that is, all the content), the sender, the recipient, any attachment contained in the message, any phone number included in the body or subject of your message, zip code, any URL entered in the body or subject of the message, etc.
Disable the application
Although these applications / add-ins cannot be removed or uninstalled, fortunately, you can disable them. If you don't like Microsoft sharing your personal information, simply double-click the application / add-in and clear the users in the component to use the application. You can also change the default behavior to disable it
If you disable the application, the provider column changes from everyone to unattended
