Introduction:

For an iterative cycle Sprint, one of the first and most important activities is Sprint Setup Meeting. In this meeting, we will mainly discuss some of the Sprint which story we need to complete, and what are the specific requirements of these story. In fact, our company follows the offshore development mode, in which we have a jet lag with our customers (9 hours), so it is very difficult for us to sit together and start plan like the standard Sprint Setup Meeting. In this mode, we have two ways to achieve this.

Implementation method:

One way to achieve this is for our offshore team to send one person at a time on a business trip, and then this person is responsible for carrying out the regular Sprint Setup Meeting with the American team in the United States, and then this person is responsible for recording all the meeting minutes and then feedback the results to the team in China. This is a typical "push" model, that is, onshore pushes the results of Setup Meeting to the offshore team. I spent half a year in the United States last year. At that time, we operated in this mode, and the advantage was that I dealt with customers directly, and I could get first-hand information about what they needed, so that I could more accurately understand what they needed, but the disadvantage was that as onsite coordinator, he was very tired, because he had to hold two meetings, and once he had to understand all of them, and the second time was to "copy" them intact to the offshore team. Therefore, coordinator itself needs to have a certain technical level, he can always grasp the nature of things, but also have good communication and understanding skills, but also have a very good energy. The day before each Sprint starts, onshore pre-defines the story to be completed for this sprint on the Jira, as shown below:

Then the person in charge of each module of our team will take the time to review one by one and ask some disturbing questions, and then the next day, we only spend an hour carrying out this Sprint Setup Meeting with the onshore American team. I usually host the meeting on the offshore side, and then we quickly review each story, and then discuss our problems directly with onshore and figure out. If not, it will be recorded and followed up by a special email.

Summary:

After the Meeting is opened, each member of the team should have a macro big picture of the story we are going to do with the sprint. This is helpful to understand the progress of the project team, the macro grasp, and in case someone in team asks for leave to take over the task in the future.
